We are seeking a Senior Assistant Manager, Faculty Affairs to take full ownership of faculty-related processes—ensuring they are not only well-designed but flawlessly executed from start to finish. This role combines strategic thinking with hands-on operational execution, making it ideal for someone who thrives on both impact and accountability.
This role reports to the Senior Administrator and works closely with the School Chair, Associate Chair (Faculty), and the HR team to support and deliver faculty-related initiatives. You’ll play a key role in faculty recruitment, performance management, career progression, and national/international recognition. Additionally, you will handle high-level, confidential administrative matters that directly influence the school’s academic excellence and long-term objectives.The responsibilities of this role are:
Lead and Execute Faculty Lifecycle Processes (End-to-End)
Oversee and manage all aspects of faculty development—from initial outreach and recruitment, to onboarding, appraisal, promotion, and reappointment.
Take full ownership of operational workflows, ensuring no detail is overlooked and each process meets deadlines and institutional standards.
Drive structured processes that deliver a seamless experience for faculty and leadership alike.
Strategic Talent Acquisition & Engagement
Design and implement strategic recruitment campaigns for both tenure-track/tenured and non-tenure-track faculty positions.
Identify, engage, and follow through with potential candidates using professional outreach and platforms like LinkedIn Recruiter.
Ensure seamless coordination of interviews, evaluations, and appointment logistics.
Performance Management & Faculty Growth
Lead the annual faculty performance appraisal process from planning to completion, with full accountability for timelines, accuracy, and compliance.
Coordinate the faculty Promotion & Tenure (P&T) exercise from start to finish, aligning operational execution with institutional policies and strategic goals.
Monitor faculty performance data and provide insights to the Associate Chair (Faculty) for continuous improvement.
Awards & Fellowship Management
Manage end-to-end nomination and application processes for prestigious local and international awards.
Coordinate fellowship recruitment (e.g., NRF, NAP), ensuring candidates are identified, supported, and onboarded smoothly.
Administrative Leadership & Institutional Support
Serve as a key administrative lead for confidential matters involving the Chair’s Office and Associate Chair (Faculty).
Act as secretariat for major school meetings and discussions, ensuring follow-up actions are tracked and completed.
Maintain robust documentation, records, and communication channels to support operational clarity and institutional memory.
The ideal candidate will need to have the following qualities and experience:
A Bachelor’s degree in a relevant field (e.g. Engineering, Science, Education, Human Resources, or Public Administration).
At least 3–5 years of administrative experience, preferably in a university or research institution.
A strategic thinker with strong execution skills and the ability to manage end-to-end processes independently.
Strong in project management, organization, and multitasking, with a keen attention to detail.
Excellent written and verbal communication skills, with the ability to convey information clearly and professionally.
Confident in building relationships with senior stakeholders and collaborating across departments.
A team player with initiative, professionalism, and adaptability in a dynamic environment.
Knowledge of faculty affairs, academic administration, and HR practices in higher education is preferred.
