Team Oversight
Oversee a team, guiding it to achieve organizational goals by planning, organizing, staffing, directing, and managing resources.
Staff appraisal and performance planning.
Programme Oversight
Lead the administration of both Postgraduate Coursework (PGC) and Postgraduate Research (PGR) programmes.
Oversee the daily operations of admissions, examination activities, graduation processes, student welfare and to ensure compliance with university’s academic and regulatory requirements.
Managing the student lifecycle ensuring a seamless experience for our graduate students.
Continuously review and improve processes and guidelines to ensure operational efficiency and alignment with industry best practices.
Oversee the submission of course proposals and curriculum review requirements to support programme development.
Strategic Planning and Implementation
Lead the strategic planning for PGC and PGR administrative operations.
Develop and implement administrative policies and procedures.
Drive process improvement and operational efficiency initiatives.
Admissions & Onboarding
Manage admissions processes, including application evaluation, interview coordination, and offer management.
Coordinate student onboarding and orientation programmes for coursework and research students.
Student Progression & Support
Track and monitor student academic progression, ensuring timely completion of milestones.
Communicate academic policies, deadlines, and programme updates clearly to students, faculty, and administrative offices.
Serve as the primary liaison between students, faculty, the College, and campus central offices.
Actively support students’ academic well-being.
Provide a safe and approachable environment for students to raise concerns.
Collaborate with faculty and support offices to address student well-being needs.
Collaborations & Representation
Act as the key liaison for international university collaborations, including the preparation of MOUs/MOAs.
Represent the school as the Graduate Education - Committee of Practice (GE-COP) to attend monthly meetings.
Attend the Postgraduate Programmes by Coursework (PGC) Affairs Executive Committee monthly meetings.
Programme Advisory
Provide recommendations/advice regarding Graduate policies and regulations to key faculty members to assist in decision-making.
Others
Perform data analysis and generate reports for internal and external stakeholders to support decision making and track progress.
Annual budget planning, budget tracking, and effective management of allocated financial resources.
Collaborate with auditors to ensure thorough evaluation of programme processes.
The ideal candidate will need to have the following qualities and experience:
Bachelor's degree with a minimum of 10 years of relevant work experience, within an institution of higher learning or operations in a university/educational setting would be an advantage.
Knowledge in admission processes, programme operations, student services and well-being management, budget management, project management.
Skilled strategic thinking and planning capabilities.
Good communication and writing skills, with the ability to communicate and interact well with diverse stakeholders.
Good problem-solving and negotiation skills with the ability to manage complex operational processes.
Strong organisational and time-management skills, including the ability to plan and prioritise work which may have competing deadlines.
Ability to handle confidential information.
Proficiency in Microsoft Office suite applications.
Strong customer service focus with a passion for supporting faculty and students.
Tactful and able to demonstrate empathy whenever necessary.
Self-motivated team player who can work independently with minimal supervision, and collaboratively with colleagues in a team-oriented environment.
Good sense of initiative and responsibility with a positive work attitude.
Meticulous, organised, with a strong willingness to learn.
