Our client will host its inaugural event, bringing together distinguished guests and supporters to celebrate the meaningful impact of philanthropy in transforming lives and advancing care. The Advancement Office is seeking a highly organised, meticulous and proactive contract staff member to support the planning, coordination and execution of the event.
The successful candidate will work closely with the Advancement team. The role is well suited to someone with strong coordination skills and is comfortable operating in a very fast-paced environment and managing multiple moving parts.Role Support the planning, coordination, and execution of a key stakeholder engagement event. The contract staff will manage RSVP and guest logistics, assist with event-day operations, and provide post-event administrative support to ensure a seamless experience for attendees and effective follow-up with stakeholders. Key Responsibilities
Event Planning & Coordination
Coordinate event logistics, including RSVP tracking, guest information, seating arrangements, dietary requirements, door gifts, and other event requirements.
Maintain accurate and up-to-date guest records based on the master list provided by the Advancement Office, including attendance status, accompanying guests, and other relevant details.
Support the coordination of stakeholder and vendor requirements, ensuring details are accurately captured and followed through.
Assist with the preparation of event materials and operational documents, including guest profiles, seating plans, run sheets, administrative briefs, operations plans, and other materials as required.
Event Day Execution (Early January 2027)
Support the event team in the smooth execution of the programme from event setup through to guest departure.
Conduct final checks of event spaces, registration areas, seating arrangements (including table tents), door gifts, presentation materials (e.g. videos and speeches), audiovisual requirements, and other event logistics.
Provide hands-on support throughout the event, including registration, guest reception, dinner service, programme execution, and event teardown.
Post-Event Follow-Up
Following the event, support the Advancement team with timely and personalised follow-up activities, includin g:
Support the event team in the smooth execution of the programme from event setup through to guest departure.
Conduct final checks of event spaces, registration areas, seating arrangements (including table tents), door gifts, presentation materials (e.g. videos and speeches), audiovisual requirements, and other event logistics.
Provide hands-on support throughout the event, including registration, guest reception, dinner service, programme execution, and event teardown.
Consolidating attendance and engagement information.
Tracking and coordinating thank-you communications.
Preparing and distributing personalised follow-up materials, where required.
Maintaining a post-event action tracker and following up with internal stakeholders on outstanding commitments and potential opportunities.
Supporting the reconciliation and closure of outstanding event-related matters with vendors and internal stakeholders.
Assisting with other donor stewardship and engagement activities arising from the event, as required.
The ideal candidate will need to have the following qualities and experience:
Diploma or Degree in any discipline (e.g. Business, Marketing, Communications, Arts, or related fields).
Minimun 2 years of relevant experience in business development, fundraising, donor engagement, or related fields.
Experience in fundraising, donor engagement, donor research, and CRM systems.
Strong written, verbal, presentation, and communication skills.
Proven project management experience, with the ability to drive initiatives independently and through to completion.
Ability to work effectively in a fast-paced environment, manage multiple priorities, and meet tight deadlines.
Strong organisational skills, attention to detail, and the ability to anticipate needs and deliver high-quality work.
Self-motivated, resourceful, and able to work independently while collaborating effectively with others.
Proficiency in Microsoft Office applications.
